One bank transfer, two statement entries: match the movement before categorizing
Connect both sides of an internal bank transfer and document timing differences before approving a new income or expense entry.

Applies to: Software-neutral bookkeeping review for U.S. and Canadian businesses moving money between accounts owned by the same legal entity in the same currency. Intercompany, owner and foreign-currency movements need separate review.
A transfer from your business operating account to its reserve account creates two bank observations of one movement. Reviewing each feed in isolation can leave an outgoing entry unexplained while the incoming amount is treated as a sale. Start by proving where the money went and whether the books already contain that movement.
This workflow covers accounts belonging to the same legal entity and using the same currency. A payment to an owner, another company or a foreign-currency account deserves a separate accounting review; the word “transfer” on a bank statement does not decide its treatment.
Build one evidence trail
The IRS explains that supporting documents substantiate bookkeeping entries and should be organized safely. Electronic records need the same underlying recordkeeping discipline. The process below is an original review checklist built around that principle, rather than an IRS-prescribed transfer procedure. IRS supporting-record guidance.
- Identify both accounts. Record their internal names and legal owner. Use restricted references rather than full account numbers in a shared review list.
- Capture both observations. Compare the amount, currency, bank reference and posted date on the sending and receiving statements. Keep the confirmation with the statements.
- Search before adding. Look for an existing transfer or manual entry in the books. Compare its date and account pair before accepting a suggested match.
- Explain differences. Record fees, delays or different values as questions with supporting evidence. Do not force unequal amounts together because their dates are close.
- Review the final result. Confirm that both bank reconciliations reflect the approved treatment and that one imported side has not created a second movement.
A month-end example
Suppose a business moves USD 4,000 from its operating account to its reserve account on September 30. The sending bank posts the debit that day; the receiving bank posts the credit on October 1. The reviewer finds a transfer already entered in the books and links the two statement references to it.
The one-day gap belongs in the reconciliation notes. It is not evidence of a new customer sale or a missing supplier bill. The reviewer asks the accountant to confirm the period-end treatment and keeps the October statement as subsequent evidence. This hypothetical example assumes no fees, currency conversion or change of legal owner.
Give each unresolved movement an owner and a follow-up date. A transfer review is finished when the evidence and approved accounting agree, not merely when a feed screen is empty. Regular statement reconciliation remains part of the broader recordkeeping process described in IRS Publication 583.

Questions about transfer matching
Is an identical amount enough to match two entries?
No. Check the account owners, direction, currency and references. Two unrelated payments can have the same value.
What if the receiving entry is not visible yet?
Preserve the sending evidence and investigate the receiving account. Record the open question instead of inventing a balancing receipt.
Should I delete an apparent duplicate immediately?
First establish which entry is original and whether either has been reconciled. Have the responsible reviewer approve a correction that preserves the audit trail.

Bookkeeping FAQs
What should I prepare before a bookkeeping review?
Start with the period, bank and card statements, sales and purchase records, and a list of unresolved transactions. Agree a secure document-sharing method before sending files.
Should I guess a category for an unclear transaction?
Keep it on an exception list with its date, amount and question. Ask the responsible person for supporting evidence before approving the final treatment.
Can bookkeeping support include catch-up work?
Catch-up work can be discussed separately. The period, missing documents, software access and review responsibilities determine the scope.
