Can you explain each balance? Build a useful balance-sheet support folder
Turn a month-end balance sheet into a reviewable record by connecting each account to dated support, clear differences and an accountable owner.

Applies to: General management-accounting preparation for U.S. and Canadian businesses. This is an original evidence-organization workflow, not an audit opinion or a substitute for the applicable accounting framework.
A tidy balance-sheet report can still be difficult to explain. Someone may know that a deposit is refundable or that an old balance is being investigated, but that explanation disappears when the reviewer changes. A support folder should let another person follow the evidence without repeating the entire month-end process.
The SEC describes a balance sheet as a point-in-time view of assets, liabilities and equity. That makes the reporting date essential when comparing the report with supporting records. SEC financial-statement guide. The folder method below is an original management workflow, not a prescribed reporting standard or evidence that the accounts have been audited.
Start with an index, not a pile of attachments
Create one row for each account selected for review. Include the account name and number, report date, currency, ledger balance, evidence link, preparer and reviewer. Add a short explanation of what the balance represents. “See attachment” is less useful than “refundable premises deposit supported by signed agreement.”
Use the index to reveal missing support. A blank evidence link should remain visible as an open task. Avoid copying documents into several folders when a controlled link can point everyone to the same retained version.
A practical folder checklist
- Freeze the report reference. Save the version reviewed, its reporting basis and extraction date. A later rerun may contain newly posted adjustments.
- Match the relevant dates. Label whether a document supports the month-end position or a later event. Explain why later evidence is useful.
- Separate amount from explanation. Compare the support with the ledger, then state any difference and its cause. An unsupported explanation is still a question.
- Record proposed corrections. Link the evidence and reviewer decision before an authorized person posts an adjustment. Preserve the earlier report for traceability.
- Close the loop. Read back the updated balance and note the approved correction reference. Carry genuinely unresolved items to the next review with an owner.
A deposit example
Imagine the ledger shows a USD 3,600 premises deposit. The agreement supports USD 3,000, and a bank receipt shows another USD 600 paid near the move-in date. Rather than declare the difference an error, the preparer attaches both records and asks what the additional payment covered.
The property manager supplies an invoice identifying the USD 600 as a separate service. The accountant reviews its treatment, and the team records the approved correction and supporting invoice. This hypothetical example demonstrates evidence gathering; the correct entry depends on the actual agreement and accounting policy.
The IRS also identifies good records as a foundation for accurate financial statements. Keeping support with the review makes that principle practical. IRS Publication 583. For help structuring records and handovers, explore our bookkeeping and accounting services.
Questions about support folders
Does an account need review if its balance did not change?
An unchanged number can still lack support. Set review frequency with the responsible accountant and document the reason for any reduced review.
Can one document support several accounts?
Yes, but explain the allocation and link each account to the relevant section so totals are not assumed to match automatically.
What should remain open at handover?
List the missing evidence, difference, responsible person and next action. Do not label an account reconciled while a material question remains unexplained.
