Which IRS transcript answers your preparer's question?
Choose a transcript by the question being reviewed, then label its year, type and retrieval date before sharing it with your tax preparer.

Applies to: U.S. federal individual transcript workflow, with a hypothetical tax-year 2025 review. Not a business-transcript guide or interpretation of individual tax liabilities.
When a preparer asks for an IRS transcript, start by clarifying the question. They may need information from the original return, later account activity or income documents reported to the IRS. Sending an unlabeled download can create another round of questions instead of moving the review forward.
This workflow concerns U.S. individual records. In the example below, the review relates to tax year 2025. It does not decide whether an amendment, payment or other filing action is needed.
Match the record to the question
A tax return transcript summarizes much of the originally filed return. A tax account transcript includes account information and subsequent changes; a record of account combines those two views. A wage and income transcript shows information returns received by the IRS and may not contain every document issued to you. A transcript is not a photocopy of the return. Check the IRS transcript-type guidance before choosing.
For an amendment or adjustment after the original return was processed, the IRS directs taxpayers toward a record of account. Its transcript FAQs also make clear that individual transcript services are for taxpayers retrieving their own records. Keep your account credentials private and arrange an appropriate authorized process when professional access is required.
A five-part handover checklist
- Write the question first. For example: “Please compare the filed return with the account activity for 2025.” Avoid a vague request to obtain everything.
- Confirm the requested record. Ask the preparer to name the transcript type and tax period. Keep business-entity and individual requests in separate rows.
- Label the download. Use a clear filename containing the period, document type and retrieval date. Keep identifiers out of filenames that may appear in shared notifications.
- Build a short index. List the transcript alongside the relevant return copy, notices and correspondence already available. Record what each item is meant to explain.
- Keep questions visible. Note unexplained differences without editing the source document or assuming that a displayed figure is wrong.
A practical example
Imagine a sole proprietor has a saved 2025 return PDF and later receives a question about an account adjustment. The owner creates a review folder with three entries: the return copy, the transcript requested by the preparer and the related correspondence. Each entry has its own document date and retrieval date. A note asks which figures should be reconciled, without predicting the answer.
The owner then shares the packet through the agreed secure channel and records when the preparer acknowledged receipt. A second download is preserved with its own date, rather than silently replacing the first. This makes the sequence understandable if the review continues over several weeks.

Questions about transcript selection
Can I use a wage and income transcript as my only document list?
Compare it with your own records; the IRS notes that its contents may not include all issued documents. Flag gaps for review.
What should I do with two differently dated copies?
Keep both labeled and explain when each was obtained. Ask the reviewer which one supports the current question.
Should I send my login details with the packet?
No. Share the requested records through the agreed secure method, with a short index and clear scope.
