After filing, keep the evidence behind an asset's tax basis
Keep an asset's purchase, adjustment and disposal evidence connected instead of clearing the folder when one tax return is filed.

Applies to: U.S. federal tax record organization, using current IRS record-retention guidance and Publication 551 (December 2025). State, Canadian and asset-specific tax treatment requires separate review.
Closing a tax-year folder can feel like finishing the job. For an asset that is still in use, however, the supporting history may remain relevant long after that year’s return is filed. A later sale can raise questions about an original purchase, improvements or earlier tax adjustments.
For U.S. federal tax purposes, the IRS generally says to retain property records until the limitation period expires for the year of disposal. It also advises checking whether insurers, creditors or other needs require longer retention. Avoid applying a single disposal date to every folder. See the IRS retention guidance.
Keep one asset history across annual folders
Give each significant asset a stable internal reference. Keep an index that points to evidence held in the relevant year, rather than making unrelated copies with ambiguous names. The index should identify the asset, its owner, its location in the accounting records and who last reviewed the file.
- Acquisition evidence: retain the agreement, itemized invoice, payment support and documents explaining what was acquired.
- Use and changes: keep records of when use began, significant work performed and changes in how the asset was used.
- Reviewed tax schedules: preserve the version used for the filed return and the explanation for later corrections.
- Disposal evidence: add the sale agreement, proceeds, relevant costs and the reviewer’s final treatment when disposal occurs.
- Retention decision: record the responsible reviewer’s instruction and its basis before destroying supporting files.
This is an organizational checklist. It does not decide whether a cost belongs in basis or is deductible. IRS Publication 551 explains that basis is used in tax calculations and can require adjustments. Have the applicable facts and tax year reviewed before relying on a particular amount.
A purchase record that survives a system change
Suppose a business buys equipment in 2024, changes accounting software in 2026 and sells the equipment in 2028. During migration, the team moves only the current balance and leaves older supporting documents on a retired computer. The later disposal review then has a number but a weak explanation for it.
A better handover links the original invoice and approved schedules to the asset reference before the old system is retired. The reviewer records where the final export is stored and tests whether another authorized person can retrieve it. These hypothetical dates describe an evidence problem; they do not set a depreciation method or calculate a taxable gain.
Keep corrections visible. If a reviewer changes a schedule, preserve the earlier version and the reason, rather than replacing every file with the same generic name. Restrict access to financial documents and maintain a recoverable backup appropriate to the business’s record policy.
Our cloud accounting and bookkeeping service can help organize an accounting-record handover. Confirm tax treatment and retention requirements with the appointed tax professional.
Questions about asset records
Can I discard the purchase invoice after three years?
Do not assume so. Property records can remain relevant through disposal and the applicable limitation period; other requirements may also apply.
Is the balance in new software enough?
It helps identify an amount, but it may not explain its history. Preserve the supporting documents and reviewed schedules as well.
Should a bookkeeper decide the final destruction date?
Use the business’s approved retention process and obtain appropriate tax or legal review where needed. Record the decision before deleting evidence.
