Paying the company card: keep the payment separate from its purchases
Trace card purchases and the later bank payment separately so one expense is not recorded twice.

Applies to: U.S. business bookkeeping; a review workflow, not a determination of tax deductibility.
A company-card statement contains purchases, credits, fees and payments. A withdrawal from the bank to pay that statement is another event in the evidence trail. If the purchases are already recorded, coding the entire bank withdrawal to expenses again can duplicate the cost.
The IRS explains in Publication 583 that supporting documents matter and payment evidence alone does not establish a deduction. Keep purchase receipts connected to their entries even after the card balance is paid.
Review the two sides of the payment
- Identify the card account, statement period and bank account that funded the payment.
- Check that individual purchases and statement adjustments have been recorded and supported.
- Find the bank withdrawal and corresponding card payment. Compare amount, reference and dates, allowing for posting delays.
- Check for a payment already entered manually before accepting a downloaded item.
- Record the matching decision and keep any unexplained difference on a review list.
A simple duplicate to catch
Suppose a hypothetical card statement contains a $240 software purchase and a $60 supply purchase. Both are already recorded. A later $300 bank payment settles those charges; it does not create another $300 of purchases. A reviewer should also separate an interest charge or refund from the principal payment rather than forcing every statement line into one category.
In QuickBooks Online, follow the current Intuit payment workflow appropriate to the existing records. The critical review is whether the payment already exists and which accounts it connects.
Our bookkeeping and accounting service can help organize the records and review questions behind this workflow.
Card-payment questions
Must the two posting dates be identical?
No. Record an explainable timing difference and retain both references.
Does a statement replace all receipts?
It may support payment, but retain documents explaining what was bought and its business purpose.
What if a payment covers personal purchases?
Identify those items separately and obtain the responsible accountant’s treatment; do not silently classify them as business costs.

Bookkeeping FAQs
What should I prepare before a bookkeeping review?
Start with the period, bank and card statements, sales and purchase records, and a list of unresolved transactions. Agree a secure document-sharing method before sending files.
Should I guess a category for an unclear transaction?
Keep it on an exception list with its date, amount and question. Ask the responsible person for supporting evidence before approving the final treatment.
Can bookkeeping support include catch-up work?
Catch-up work can be discussed separately. The period, missing documents, software access and review responsibilities determine the scope.
