Drake Tax: check the required filename for a state PDF attachment
Resolve a state attachment question by checking the exact required filename, the document inside the PDF and the current return version.

Applies to: Drake Tax desktop on Windows, United States state e-filing workflow. The example concerns tax-year 2025 preparation; actual state, year, return type and current EF message control requirements. Not Drake Tax Online.
A state e-file message asking for a PDF is a document-control task as well as a software task. A correctly named file can still contain the wrong year or an older version. This guide concerns Drake Tax desktop on Windows for U.S. state returns. Read the requirement for the actual state, tax year and return type before acting.
Start with the current attachment requirement
Drake’s documentation says a required attachment must match the filename specified in the EF PDF Attachments window or applicable state PDF screen. In View/Print, Attach PDF opens the dialog. Some documents attach automatically; others require a manually prepared PDF. For a manual attachment, note the required name, prepare and save the document, calculate, then browse to the file through that dialog. View the selected attachment and recalculate to check the associated message. See Drake’s state attachment instructions.
Use the current requirement as the specification. A filename used for another client or state is not a universal template. Keep a separate internal note for the taxpayer reference, return year and review status rather than adding unapproved text to a required filename.
Review the document as well as its name
- Record the full state message and the attachment requirement in the private workpaper. Include the return type and software year.
- Locate the approved source document. Check the taxpayer identity and period without relying on the folder name alone.
- Open the actual PDF you intend to attach. Look for missing pages, unreadable content or an obsolete version.
- Compare the exact required filename with the saved file. Avoid guessing from a shortened filename displayed by a file picker.
- After attachment, preview it from the return’s attachment dialog and record the recalculation result.
Keep the reviewer and preparer responsibilities clear. The preparer may assemble the document; the reviewer should still confirm that it answers the state’s request. A checked task box should refer to an inspected file, not simply to a file that exists.
A version-control example
Suppose a preparer is working on a hypothetical tax-year 2025 state return. Two PDFs sit in the work folder: a preliminary copy produced before a correction and a later reviewed copy. Both look similar in the file list. The preparer opens the intended document, checks the changed section against the approved workpaper and attaches that version using the required name.
The reviewer then opens the attachment from inside the return and confirms the same content. This second check catches the practical mistake of selecting the older file from a nearby folder. Record the review date and the source document reference, so a colleague can identify what was checked without relying on memory.
Keep unresolved messages visible
If the message remains after the documented steps, preserve its full text and the observed result for the next review. Do not reinterpret a bare number without its state and context. A cleared attachment message also should not be recorded in the work log as proof of filing acceptance; maintain a separate evidence field for the filing outcome.

Questions about state PDF attachments
Can I reuse another state’s required filename?
Use the requirement displayed for the return you are preparing. Similar document purposes do not establish identical requirements.
What if the return changes after attachment?
Drake warns that attachments may need updating after return modifications. Follow its update guidance and preview the attached document again before release.
What belongs in a support handover?
Include the software year, state, return type, full message, required filename and steps already tested. Share taxpayer documents only through the approved support channel.

Useful answers
Drake FAQs
Does e-file eligibility confirm acceptance?
No. Read the actual acknowledgment for the relevant return and jurisdiction. Eligibility and acceptance are different stages.
Should I retransmit a pending return immediately?
First check its acknowledgments and exact message using Drake's current guidance. A pending transmission needs status review before another attempt.
Does every Drake product use the same instructions?
No. Check whether the article covers Drake Tax, Drake Tax Online or another Drake product, and verify the applicable tax year.
