Form 1099-K does not equal your bank deposits: prepare a reconciliation
Connect the form's gross amount to processor records, refunds and fees before handing the reconciliation to a tax preparer.

Applies to: U.S. Form 1099-K recipient review for the year printed on the form; an evidence checklist, not reporting-threshold or return-line advice.
Your annual information form shows one amount and the bank deposits show another. That difference needs an explanation, but it does not automatically mean either record is wrong. Begin by checking what each total represents.
The IRS explains that Form 1099-K Box 1a reports gross payments without adjustments for items such as fees, credits and refunds. It recommends checking the form against payment-app, marketplace or merchant records. Use the form together with the other evidence; a deposit total alone is not a substitute.
Prepare a review that someone else can follow
- Confirm the year, recipient and processor shown on the form.
- Export the matching period’s processor reports and retain their original filenames.
- Separate gross receipts, refunds, fees and other identified adjustments.
- Connect payout references to the bank transactions.
- List timing differences separately, particularly across the year-end boundary.
- Flag unexplained differences or suspected duplicate reporting for the preparer.
Keep corrected forms distinguishable from earlier versions. If you contact the issuer about an error, retain the date, issue reference and response in the review folder. Do not simply alter the form’s amount in a worksheet and lose the explanation.
A simplified reconciliation
Imagine a processor report with $12,000 gross payments, $300 refunds and $360 fees, with no timing differences or other adjustments. The resulting net payout is $11,340. The $660 difference is explained in this fictional example by the two documented adjustments.
This arithmetic does not establish taxable income, the applicable return line or eligibility for a deduction. A real reconciliation may involve multiple platforms, other payment methods, shared receipts and corrections. The reviewer should explain those facts instead of forcing every form to match one bank total.
Finish with an exception list

Form 1099-K questions
Does a mismatch prove the form is wrong?
No. First distinguish gross reporting from net payouts and timing differences.
Should refunds disappear from the evidence folder?
No. Preserve their references so the reconciliation can be checked.
Can I count the same sale again because it appears on a form?
Reconcile it to the underlying sales records and ask the preparer how it is already represented.
