Form 8822-B: organize a business address or responsible-party update
Identify which EIN record changed, separate address changes from responsible-party changes and prepare a traceable Form 8822-B handover.

Applies to: U.S. federal EIN records; Form 8822-B revision December 2019 linked by IRS as checked October 1, 2026. Not a state business-registration guide.
A business move can produce several different tasks: updating suppliers, bank contacts, state records and federal tax records. Treat each as its own handover. A change in one system is not evidence that every other record has changed.
For a business with an EIN application on file, the IRS identifies Form 8822-B for reporting changes to the mailing address, business location or responsible party. The IRS specifically requires a responsible-party change to be reported within 60 days. Do not apply that statement indiscriminately to every address-change situation. IRS overview of Form 8822-B.
Identify the change before filling the form
Start a review note with the entity name, a secure reference to its EIN record, the change type, effective date and person responsible for preparing the update. Keep full identifying numbers and supporting documents in the restricted record system, not in a broadly shared project tracker.
Be specific. “Office moved” does not establish whether the mailing address also changed. “New finance contact” does not, by itself, establish that the responsible party changed. Have the authorized reviewer determine what the IRS record needs to reflect.
A practical preparation checklist
- Confirm the legal entity whose record is being updated.
- Compare the existing details with the proposed details using reliable internal records.
- Separate mailing address, physical location and responsible-party decisions.
- Assign an authorized reviewer and keep the effective date visible.
- Use the official form’s current instructions for completion, signature and mailing.

An example of a clearer handover
Suppose a company relocates its operating office but continues receiving mail at the existing mailing address. The review note should distinguish those facts, identify the evidence and ask the authorized reviewer to confirm the applicable fields. It should not automatically copy the new street address into every system.
After the approved submission, retain a copy and dispatch evidence in the entity’s restricted folder. Track any follow-up separately from the preparation task. Our bookkeeping and accounting service information explains the broader record-organization context.
Form 8822-B questions
Is a new bookkeeper automatically a new responsible party?
No conclusion should be drawn from a job title alone. Ask the authorized reviewer to assess the actual change using the IRS guidance.
Does this form update state registrations too?
This article concerns the federal EIN record. Identify state and other institutional updates as separate tasks and verify their requirements directly.
What should remain in the general task tracker?
Keep the entity reference, owner, dates and completion evidence location. Avoid copying taxpayer identifiers into the tracker.
