A W-2 is missing: prepare the evidence before choosing a filing route
Organize employer contacts, pay records and the exact missing form before discussing a substitute with your preparer.

Applies to: U.S. federal individual income tax; missing or incorrect 2025 Form W-2 records reviewed in 2026. No deadline extension is implied.
Missing can mean never issued, issued to an old address, inaccessible in a payroll portal or received with incorrect figures. Start by describing the problem accurately. A reviewer cannot choose the next step reliably if these different situations are all labeled no W-2.
IRS Topic 154 describes contacting the employer or payer and the IRS process for missing or incorrect forms. It also explains when Form 4852 may serve as a substitute. Follow the current instructions and obtain advice for the particular return; do not assume a substitute is always appropriate. IRS Topic 154.
A focused review checklist
- Confirm the tax year, employer or payer and which form is absent or disputed.
- Keep a dated record of requests for the original or corrected form.
- Gather available year-end pay records and distinguish them from an official W-2.
- List any figures that remain uncertain without filling the gaps with guesses.
- Ask the preparer how the current IRS guidance applies and what follow-up is required if the form arrives later.
A hypothetical example
A hypothetical employee has a final pay statement but no accessible W-2. The handover should identify the employer, year, contact attempts and available records. It should not rename the pay statement W-2 or claim that an estimated figure was reported by the employer.
Use an agreed secure document channel for tax records. Keep sensitive identifiers out of ordinary enquiry forms and public messages. If a form later arrives, retain the earlier decision record and ask the preparer to compare the actual figures with what was filed.
For help organizing the records and open questions, see our bookkeeping and accounting service. Share sensitive records only through an agreed secure channel.
Questions about this review
Is a pay statement automatically a W-2 substitute?
No. It is evidence to review; the filing route must follow the applicable instructions.
Can I ignore a corrected form received later?
No. Give it to the preparer for comparison with the filed return and any required next action.
Does gathering evidence extend a filing deadline?
No. Discuss any remaining filing obligations separately with the preparer.
