QuickBooks Online: investigate a changed beginning reconciliation balance
Use the discrepancy history and supporting records to understand a changed beginning balance before approving corrections to a reconciled period.

Applies to: QuickBooks Online, United States browser edition on Windows or macOS. Previously reconciled accounts; not QuickBooks Desktop or first-time opening-balance setup. Vendor guidance checked October 6, 2026.
A reconciliation can become difficult before the current month’s transactions are reviewed. If the beginning balance has changed, establish what happened to the earlier records before adjusting anything. This review is for previously reconciled accounts in QuickBooks Online’s U.S. browser edition, not QuickBooks Desktop or a first reconciliation.
Find the history behind the difference
Intuit says the beginning balance should agree with the last reconciliation’s ending balance. Its current route is All apps, Accounting, then Reconcile. Select the correct account and use the help link in the beginning-balance alert to open the discrepancy report. Review the change history, including who changed what and when. Intuit cautions that some changes are intentional; its suggested fixes assume an error. See Intuit’s beginning-balance guidance.
Start a short investigation note with the account label, last completed period, displayed difference and review date. Use a masked account reference if the note is shared beyond the accounting team. This makes the question specific enough for someone else to pick up without reopening every document.
Build an evidence trail before choosing a correction
- Locate the previous reconciliation report and the corresponding bank statement. Confirm that both relate to the same account and period.
- For each unexplained change, identify the supporting invoice, payment record or other source document.
- Ask the person responsible for the entry why it changed. Record the explanation as an unresolved claim until the evidence supports it.
- Separate an approved correction from an accidental edit. Include the approval reference where one exists.
- Give each unresolved item an owner and next action. Have the responsible accountant review changes affecting a completed period.
A useful worksheet has one row per question, not one row per theory. Record the observed change, evidence location, explanation, reviewer and decision. This keeps speculation from becoming an undocumented instruction to alter the ledger.
An illustrative investigation
Suppose a September reconciliation was completed, and the October review shows a $75 difference. The investigation finds that an earlier payment entry was changed from $525 to $450. The reviewer checks the bank statement and the original payment authorization. The amount of the change fits the difference, but that arithmetic alone does not establish which entry is correct.
If the documents support $525, the reviewer can explain why the later edit appears mistaken and seek approval for the appropriate correction. If they support $450, the question becomes why the earlier reconciliation used the other amount. Preserve that distinction instead of simply restoring the older value. These figures are hypothetical and do not describe a client result.
Close the review with an explanation
After an approved correction, retain the before-and-after evidence and the reason for the action. A zero difference is a useful check, but the next reviewer should also be able to understand why the records changed. If the evidence remains incomplete, keep the item open with a clear request.

Questions about beginning-balance review
Should I change the opening balance to make the difference disappear?
Do not use an unexplained adjustment as a substitute for investigating the records. Ask the responsible accountant to assess any proposed opening-balance change.
Does a matching amount prove I found the cause?
No. It identifies a candidate. Confirm the account, date, source document and reason for the change.
What if the change was intentional?
Preserve the approval and explanation, then have the reviewer determine the appropriate reconciliation treatment. Do not automatically classify it as an error.

QuickBooks FAQs
Can I use a Desktop error guide for QuickBooks Online?
Only when the guide explicitly covers that product. First identify whether you use Desktop or Online and record the exact message.
Does a connection error prove a company file is damaged?
An error message alone is not enough to establish file damage. Identify the affected task and follow the relevant vendor diagnostic guidance.
Who should change a shared hosting setup?
The person responsible for the server or hosting provider should review changes affecting other users. Record the current setup before making approved changes.
