QuickBooks Online error 185: prepare for the bank's additional verification
Identify the required bank verification and its authorized owner before retrying a QuickBooks Online connection.

Applies to: QuickBooks Online browser workflow, using Intuit's global error-185 documentation. Bank prompts vary by institution and country; not QuickBooks Desktop.
A bank feed can pause after the usual sign-in details have been entered. Before changing bookkeeping entries, identify whether the connection is waiting for a person to complete an additional verification step.
Intuit’s error 185 guide says the financial institution requires more information after credentials. It describes security questions and one-time passcodes as possible prompts. That explanation concerns the connection; the code alone does not show that ledger transactions are damaged.
Identify the right person and the right connection
Record the institution, affected account using a masked reference, time and exact error. Confirm who is authorized to complete the bank’s verification. A colleague may be able to review the books while the account owner controls the authentication device.
- Open the known QuickBooks and institution workflow rather than a link supplied by an unexpected message.
- Have the authorized person respond directly to the prompt in that workflow.
- Keep passwords, answers and one-time codes out of support notes, chat and ordinary enquiry forms.
- Record whether the prompt appeared and whether the connection completed.
- If it fails, retain the non-sensitive error details and consult the current Intuit guidance or official support.
An example of a useful handover
A bookkeeper records: “The operating-account update paused at additional verification; the owner needs to complete the institution prompt.” After the owner acts, the bookkeeper records the resulting connection status and the latest visible transaction date. The note is useful without containing a bank password or code.
When transactions resume, review them against existing records before adding new entries. A successful connection does not establish that every downloaded item is new or correctly categorized.
Keep the repair bounded
Do not replace a missing authentication step with repeated imports or recreate an account merely to silence the error. Our cloud accounting and bookkeeping service can help document the workflow and review the resulting records. Institution access stays with its authorized owner.
Error 185 questions
Does error 185 prove the password is wrong?
Intuit describes an additional-information requirement; identify the actual prompt before drawing that conclusion.
Should a one-time code go into the support ticket?
No. Enter it only in the appropriate authorized verification flow.
Does completing verification finish reconciliation?
No. Review the resulting transactions separately.

Only when the guide explicitly covers that product. First identify whether you use Desktop or Online and record the exact message.

An error message alone is not enough to establish file damage. Identify the affected task and follow the relevant vendor diagnostic guidance.
Who should change a shared hosting setup?
The person responsible for the server or hosting provider should review changes affecting other users. Record the current setup before making approved changes.
