QuickBooks Online: review the existing record before posting a bank match
A matching amount is a starting point. Check the supporting record, account and payment evidence before posting a suggested bank-feed match.

Applies to: QuickBooks Online, United States, browser version on Windows or macOS. Menu wording follows Intuit's August 14, 2026 guidance, checked October 5, 2026. Not a QuickBooks Desktop guide.
A bank download may look familiar without being the right match. Two supplier payments can share an amount, and a short bank description may omit the invoice reference. A useful review answers one question before posting: which existing record does this bank movement actually settle?
Understand the choice in this edition
In QuickBooks Online, matching connects a download with an existing record; categorizing creates a new record. Intuit’s current US guide uses All apps, Accounting, then Bank transactions. Expand the suggested match, check its details, and select Post only when correct. Find other match lets you look for an alternative. Matching an invoice or bill can mark it paid, so confirm the money actually moved. See Intuit’s bank and credit card matching guidance.
Build a small evidence checklist
Keep the review proportionate to the transaction. A routine payment may need only its invoice, bank detail and existing entry. An unclear item needs a named next action rather than a guessed answer.
- Confirm the business and bank account you are reviewing. Note the transaction date and whether the movement is money in or money out.
- Read the underlying invoice, receipt or payment reference. Do not rely only on a shortened payee description.
- Compare the existing entry with the actual bank movement. If there are several similar candidates, distinguish them using supporting evidence.
- Record unresolved questions with the amount, document reference, reviewer and next step. Keep account numbers out of a general task list.
- After the approved action, record which item was resolved and which supporting document explains the decision.
An example with two identical amounts
Suppose two monthly contractor invoices are each $450. One belongs to a designer and one to a researcher. The bank description contains only a payment processor’s name. The reviewer opens the remittance advice and identifies the researcher’s invoice reference. That evidence distinguishes the correct record; the amount alone does not.
If the remittance advice is missing, ask the person who authorized the payment to identify the beneficiary and purpose. Leave a precise question in the exception list: “Which $450 contractor invoice does this movement settle?” This is more useful than a general note saying “bank mismatch.” The example is hypothetical and does not describe a client outcome.
When there is no suggestion
Intuit lists fees, grouped deposits, dates outside its matching window and already reconciled records among reasons a suggestion may be absent. Absence therefore does not prove that a new entry is needed. Review the relevant case in the same vendor guide before deciding.

Questions about reviewing a match
Is an identical amount enough evidence?
No. Use the purpose, beneficiary and supporting reference to distinguish otherwise similar transactions.
Should every unresolved item wait until month-end?
Assign an owner and follow-up date when you first identify it. Resolving evidence gaps earlier makes the closing review easier to explain.
What should the handover contain?
Include the document reference, bank movement, proposed match and any unanswered question. Keep sensitive evidence in the agreed secure location.

QuickBooks FAQs
Can I use a Desktop error guide for QuickBooks Online?
Only when the guide explicitly covers that product. First identify whether you use Desktop or Online and record the exact message.
Does a connection error prove a company file is damaged?
An error message alone is not enough to establish file damage. Identify the affected task and follow the relevant vendor diagnostic guidance.
Who should change a shared hosting setup?
The person responsible for the server or hosting provider should review changes affecting other users. Record the current setup before making approved changes.
