Sage Accounting audit trail: save the filters with the review
Use the audit trail as a focused review aid and preserve the period, view and status filters needed to explain the exported evidence.

Applies to: Sage Accounting / Sage One, Canadian help region, browser product. Guidance checked October 2, 2026. Not Sage 50, Sage Intacct or an assurance engagement.
An audit-trail report can help explain a transaction, but an exported file without its review context leaves questions. Which period was selected? Was the view summarized or detailed? Were deleted entries included? Capture those choices alongside the accounting question you are investigating.
Set the report deliberately
Sage’s Canadian Accounting guidance places Audit Trail under Reports, All reports. Select the required period and calculate the report. Recalculate when filters change. Summary shows transaction totals; Detailed includes ledger accounts and debits and credits. The article explains that deleted transactions are included by default and that status filtering can change this. Export options include CSV and PDF.
These instructions apply to the Sage Accounting browser product described by that regional help page. Do not substitute Sage 50 menu paths or assume the same controls exist in every Sage product.
Ask a specific review question
A useful question is, Which entries explain the difference between this source document and the ledger? It is more actionable than asking a reviewer to look at everything. Record the document reference, expected amount, relevant period and the reason the item needs attention. Keep confidential customer details in the controlled records, not in a widely shared task title.
Before exporting, note the period, transaction-type selection, status selection and view. Save the report date with those choices. If the review depends on who created an entry, check the available columns described in the vendor guidance and include the relevant information.
Example: explain why two exports differ
Imagine one reviewer exports all relevant entries and another excludes deleted items. Their row counts differ. The team should first compare the report settings before concluding that records disappeared. If an entry was replaced, preserve the explanation and the source reference; an audit trail is evidence to inspect, not permission to delete history.
Close the review with an outcome such as explained, correction proposed or additional evidence needed. Name the person responsible for the next step. This makes the report useful within an ongoing cloud-accounting process.
Questions about audit-trail reviews
Is the report a substitute for source documents?
No. Compare the relevant entries with invoices, receipts or other supporting evidence.
Why can two exports have different rows?
Check the date range, transaction and status filters, view and export timing before assuming a data problem.
Does completing this checklist mean an audit is complete?
No. This is an operational bookkeeping review, not an audit opinion or assurance conclusion.
