Sage Accounting Canada: distinguish payment dates from bank clearance dates
Before processing a bank import, identify whether the record needs the customer payment date or the bank clearance date and check for an existing entry.

Applies to: Sage Accounting Canada cloud/browser edition, Windows or macOS browser. Sage One / Sage Accounting category; not Sage 50. Date handling checked against Canadian vendor guidance October 6, 2026.
A payment can be documented on one date and appear on the bank statement on another. Near a month-end, those dates deserve an explicit review. This article concerns Sage Accounting’s Canadian cloud edition in a browser. It does not use Sage 50 instructions or decide the tax treatment of a payment.
Understand which date the import uses
Sage’s Canadian guidance says an imported transaction uses the bank clearance date, and that date cannot be changed during import. To use the customer payment date, its documented approach is to record the transaction directly from Banking, then match the imported item to mark it cleared. See Sage’s imported bank transaction guidance.
Before choosing a workflow, identify what the business is trying to represent and which evidence supports it. A bank statement and a customer remittance can describe different events. Keep both references visible in the review note instead of assuming one document makes the other date incorrect.
Prepare a date review before processing the import
- Identify the customer, amount, currency and payment reference. Distinguish the payment from other items with similar amounts.
- Record the customer payment date shown by the supporting evidence and the clearance date shown by the bank.
- Check whether the payment already exists in the accounting records. Note its reference and date for the matching review.
- Ask the responsible bookkeeper to confirm the intended recording treatment when the dates cross a reporting boundary.
- Document the approved action and verify the resulting record against the evidence after processing.
A compact worksheet can contain separate columns for the two dates, the existing record reference, the decision and the reviewer. This structure makes an unresolved date question visible without copying sensitive banking details into a general task list.
An example across month-end
Suppose a hypothetical customer payment is supported by a September 30 receipt, while the corresponding bank clearance appears on October 2. The reviewer locates the receipt, the bank entry and any payment already recorded. The first task is to establish whether those items describe the same movement.
If the business needs to use the supported customer payment date, the reviewer can assess Sage’s documented direct-entry-and-match approach before processing the import. If an entry already exists, review it before creating anything additional. Record why the chosen date is appropriate under the business’s accounting process; the software’s import behavior does not make that decision for the owner.
After processing, compare the recorded payment and the matched bank item with the worksheet. Check that the evidence explains the difference in dates and that the same movement has not been recorded twice. The figures and dates in this example illustrate a review process, not a client outcome.
Escalate an issue in a completed reconciliation
Sage cautions that transactions cannot be modified after they are included in a completed bank reconciliation. If you discover a date problem there, stop and have the responsible reviewer assess the records and current vendor guidance. This article does not prescribe deleting or changing a reconciled transaction. See Sage’s reconciliation caution.

Questions about imported dates
Can I change the date while importing the transaction?
Sage’s Canadian guidance says no. Decide the appropriate recording workflow before completing the import review.
Do different dates always indicate an error?
No. Establish which event each document records and whether both references belong to the same payment.
What should I keep with the review?
Retain the payment evidence, bank reference, existing entry reference and the approved date decision in the agreed record system.
