Sage Accounting Canada: review a credit-note allocation before saving
Match a customer or vendor credit to the intended outstanding transaction without confusing allocation with cash movement.

Applies to: Sage Accounting, Canada, browser product (formerly Sage One). Vendor allocation guidance modified May 1, 2026. These are not Sage 50 desktop instructions.
A credit note can reduce an outstanding balance without being a new cash receipt. Before allocating it, identify the document and the transaction it should settle. That keeps a clean explanation of why the balance changed and avoids inventing a bank movement.
Start with the evidence
For Sage Accounting Canada, the documented route is Contacts → the required customer or vendor → Manage → Account Allocation. Only outstanding transactions are available. Sage allows partial allocations by editing the Paid amount, and requires Left to Allocate to be zero before saving. Receipts or payments are recorded separately where cash actually moves. Refer to Sage Canada: How to allocate credit notes and payments on account.
A practical review checklist
- Confirm the correct contact and whether you are reviewing customer or supplier activity.
- Compare the credit reference, original invoice, currency and approved reason. Resolve disputed references before selecting transactions.
- Open Account Allocation and choose the intended outstanding items. For a partial allocation, review the amount that will remain open.
- Check the allocation total and the remaining balances before Save. Keep a short note explaining the match.
- After saving, read back the contact activity and outstanding invoice. Compare cash records separately if a refund or payment also occurred.
A worked review example
Suppose a customer has a $500 outstanding invoice and an approved $120 credit note for returned goods. A reviewer matches the credit to that invoice and expects $380 still outstanding, assuming no other activity. The allocation explains the balance change; it does not prove that $120 was refunded through the bank. If the business agreed a cash refund instead, the reviewer checks the appropriate cash workflow before proceeding.

Questions about this workflow
Can I allocate a document that is no longer outstanding?
The documented allocation screen works with outstanding items. Investigate prior allocations and contact activity before making corrections.
Does zero Left to Allocate mean the invoice must be fully paid?
No. An allocation can be partial. Review the amount allocated and the invoice’s remaining balance separately.
Can I use Sage 50 desktop menus for this task?
Use instructions for Sage Accounting Canada in the browser. Product names and workflows should match the actual system.
