Sage Accounting Canada: review the statement date and recipient before sending
Check the statement purpose, cutoff, later payments and recipient before releasing a customer statement from Sage Accounting.

Applies to: Sage Accounting, Canada cloud/browser edition, formerly Sage One naming in some markets; Windows or macOS browser workflow. Official Canadian support articles checked October 5, 2026. Sage 50 instructions are not used.
A statement can be technically generated yet still confuse its recipient. A payment received after the chosen cutoff, an old contact address or an unclear period can all prompt avoidable questions. Treat statement preparation as a short review with an explicit purpose before releasing the document.
Choose the question the statement should answer
Are you showing activity during a period or the items still requiring attention? Sage Accounting supports all-activity and outstanding-items statement types. Its Canadian settings guidance also describes delivery preferences and how future-dated payments affect outstanding-item statements. Review the applicable choices in Sage’s statement setup guidance rather than assuming every saved preference fits this request.
Write the purpose in your internal review note. For example: “Explain the September account activity to the customer’s accounts-payable contact.” This gives the reviewer a concrete test: does the selected document answer that question?
Prepare a customer-specific review copy
Sage documents a single-customer route through Contacts, Customers, the customer record, then Manage and Statements. The To field sets the end date. The statement can be reviewed and printed as a PDF before email. Sage also notes that the main contact and address are defaults, which can be changed. See Sage’s customer statement instructions.
- Confirm the customer identity and the period you intend to explain. Avoid choosing a similarly named customer from memory.
- Check the document against the supporting invoices, credits and payment records relevant to the enquiry.
- Review any payment received after the cutoff separately. Decide how to explain it without obscuring the statement’s chosen date.
- Check the recipient against an approved current contact record. A familiar name alone does not confirm that the email address is current.
- Have the responsible person approve the reviewed document and message. Retain the sent version and date in the agreed record system.
An example of a payment after the cutoff
Suppose an illustrative customer owes $1,200 at September 30 and pays $400 on October 2. A statement prepared on October 5 might be intended to explain September activity, while a collection conversation concerns the more recent position. Those are different questions.
The reviewer records both dates and checks the configured treatment of later payments. Sage’s setup article explains that the future-dated-payment option changes whether items paid after the statement date remain in an outstanding-items statement. Check that setting and the actual output before attaching the document. Sage’s explanation of the payment-date option provides the product detail.
The accompanying message can identify the statement’s cutoff and separately acknowledge the later payment once verified. Do not describe the historical statement amount as today’s amount due without reviewing subsequent activity. These figures are a hypothetical example, not a customer case.
Keep the process reviewable
For assistance organizing statements and supporting records, see our cloud accounting and bookkeeping service. Agree who reviews balances and who authorizes customer communications. Keep the existing enquiry form for a brief request rather than confidential customer records.
Questions about statement review
Should I enable recurring statements during this review?
Only if the owner has separately approved the ongoing recipients, timing and review responsibilities. A single statement request does not define those decisions.
What if the customer’s email address is missing?
Sage’s setup guidance says a PDF is generated for printing when the main contact has no email. Confirm an approved delivery route before treating the statement as delivered.
Does generating a statement settle a disputed balance?
No. Record the disputed item and investigate the evidence with the responsible person before making a collection commitment.
