Prepare a tax document handover your reviewer can follow
Separate received documents, missing items and open questions before a tax preparation engagement.

A folder full of documents is a start. A handover that explains what is present, what is missing and what needs discussion is easier to review. Before your next tax preparation appointment, build a short inventory rather than assuming the reviewer will recognize every gap.
Use three sections
- Received: list each document, its issuer, relevant year and whether a correction has arrived. Store the actual files in the agreed secure location.
- Expected: record documents you believe are still outstanding, who you will contact and the next follow-up date.
- Questions: note changes or transactions you want the preparer to assess. Describe the event without deciding its tax treatment yourself.
The IRS’s document-gathering guide identifies common information needed for a US individual return, including income forms and relevant personal records. Treat it as a starting point: the required package depends on the return and circumstances.
Separate document status from tax conclusions
“Received” means you have the file. It does not establish that a deduction is allowed or that the return is ready. Add a separate reviewer column when an item needs interpretation. If a corrected form arrives, flag it and preserve the relationship to the earlier version instead of quietly replacing a file.
Agree the handover before sending it
Confirm the tax year, return type, filing jurisdictions, secure exchange method and person responsible for follow-up. Ask which documents the preparer wants in advance and which questions belong in the meeting. Do not send identifiers or complete returns through an ordinary website enquiry form.
An illustrative cover note might say: “Income documents received from the listed issuers; one corrected statement expected; business expense questions listed separately; please confirm what else is required.” Clear status is more useful than claiming the package is complete too soon.
Questions about preparation
Should I wait until every document arrives to contact a preparer?
You can discuss scope and missing items earlier. The preparer can explain what is needed before filing.
Can this checklist determine my deadline?
No. Check the current rules for your jurisdiction, return and circumstances.
Does an organized folder guarantee an accurate return?
No. The documents and proposed treatment still require appropriate review.
