Form W-9: organize the vendor document workflow before collecting details
A practical way to track requests, versions and review status without copying sensitive information into a general tracker.

A vendor onboarding tracker should tell you what is missing without becoming another storage location for taxpayer identifiers. Keep the workflow record separate from the sensitive form itself. That makes the tracker easier to share with the people coordinating follow-up.
Confirm why the form is needed
The IRS describes Form W-9 as a way to provide a correct taxpayer identification number to a person required to file an information return. It is not, by itself, a determination that every vendor needs the same reporting treatment. Start with the official IRS Form W-9 page and ask the responsible tax reviewer about applicability.
Keep the tracker focused on status
A practical tracker can include the vendor’s internal reference, request date, response status, reviewer and next action. A document-location reference is usually more useful there than repeating a tax identification number. Decide who needs access to the form itself and agree how it will be received.
- Requested: the request has been sent through the agreed channel.
- Received: the document is stored and ready for the responsible review.
- Question outstanding: the reviewer has asked for clarification.
- Review complete: the responsible person has recorded the outcome.
Plan for revisions
If a vendor provides an updated document, label its receipt date and notify the reviewer. Avoid silently overwriting the earlier record. Your retention and access procedures should determine how versions are kept; this article does not set a universal retention period.
For example, an operations coordinator could see “clarification requested” in the tracker while only the authorized reviewer can open the form. The coordinator can follow up without needing to inspect the identifier.
Questions about this workflow
Should the tracker contain a Social Security number?
Design it around status and document references. Collect and store sensitive identifiers only through the appropriate process.
Does receiving a W-9 settle contractor classification?
No. Do not use receipt of a form as a substitute for the applicable classification review.
Can I upload a completed W-9 in the enquiry form?
No. Send a brief question and arrange a suitable secure document channel separately.
